Whats New in Total Activity Control 2005
New Products
• TAC 'Lite'
Designed specifically for the liquid waste industry.
You can turn the Total Activity Control Demo into TAC 'Lite' . On the Main Menu, go to Admin / System Settings, and select the Cross Division Tab. Check the box for Lite Station Enable. Exit, and re-login and to see all the features and capabilities of TAC 'Lite' Product.
• Credit Card Processing
Allows you to process invoices against credit cards and receive confirmation from credit card processing agent. Licensed on a per-station basis. Available mid-year 2005.
• Scanner Operations
Allows you to take a stack of work orders or invoices and scan them in to be processed by Total Activity Control, which attaches them to the appropriate record sin the database. These documents can then be viewed at any time. Requires a multi-document scanning device. Licensed on a per-station basis. Once documents are scanned, any station can view them. Available mid-year 2005.
• Drag-and-Drop Dispatch
Work order and service route assignments will be able to be made through drag-and-drop mouse operations. Available mid-year 2005.
New Reports
The following reports were added or enhanced for Total Activity Control 2005:
• Site Notes
Report now includes the site name along with the site number.
• Sales Progress Tracking by Site Notes
Report now includes site code, and status notes.
Notes included in site status have note codes SFUP- Sales Follow Up and codes starting with CB-Call Back.
• Export Invoices, Statements and Ledgers.
This previously required administrative control. Now available to everyone.
• Age reports now suppress all sites with no amounts due.
• Credit Limit
New financial report lists all sites past credit limit.
• Credit Card Audit
New financial report verifies if credit cards on file are past expiration dates.
• Service Stop List
Report now has page breaks between routes/days.
• Reference File 15
Reports have been added to list operational defaults for rate codes. You can also use the search fields to print any group of rate codes..
• Site Code Analysis
New report gives counts of sites grouped by site code, used for tracking potential sales activity
Marketing Aids
• Proposals
The proposal feature has been enhanced so that the line charges are created normally and are converted to a proposal at invoice generation. Both invoice search and line item charges identify proposals.
• Print your proposals on any invoice.
• All sales and financial documents ignore proposal invoices.
• System defaults hold proposal keyword so it can be changed for localization.
• Easily convert a selected proposal to a "real" invoice using the right-click action menu.
Operational Improvements
• You can now set site or customer reminder notes which will come up the first time you use the system, for each individual user. You can also pop these reminders up any time using F11 for site reminders and F12 for customer reminders.
• Customer codes with an * in the code now pop up as a site or customer warning message when opening the site or customer master. Other pop-ups include beyond credit limit, and both site and customer notes tagged with a pop-up code.
•Automatic Log-out feature can now be set by individual user.
• You can now view a list of the last 10 sites accessed in the Site Master.
When the mouse pointer is on the site number field on the Site Master, the mouse pointer turns into a large ?. If you double-click on this site number field at this time, it will bring up the last 10 + sites accessed in the Site Master.
• The Standing Order creation form now has a button to advance the next service date.
• Reference File 15 validates rate codes before deleting , to ensure that it is not being used in rental prompts or line item charges.
• Reference files can now be set to validate forms using the reference codes when adding or saving an entry. If this option is used, then any codes used in forms must be in the reference files.
• The system now automatically ages sites. (First user with administrative permission launches aging and can still use the system while sites are being aged.)
• Site number is now added to all email messages.
• Grid selection options under Admin/User Settings support 7 categories that pre-set the grid layouts for certain industries. You can choose the best fit to meet your needs. Each user will still have the ability to customize grids on forms.
• Popup Learning Center holds current video tutorials and new release information.
• New Invoice Search (F9) displays invoice and, upon invoice selection, any associated line charges and payments.
• New Site/Customer search(F7) allows you to search both sites and customers at the same time. Search options include name, address, contact and phone number
Financial Posting
• Bulk entry using grid for the entry of charges, sort code to organize codes in correct order. You can establish a set of rate codes that you want to appear on the grid. Then, invoices can be created by using only the rate codes available in the grid. This makes invoice creation more standard for your company.
• If a rate code has been linked to another code, you are automatically reminded to post a second entry using linked code.
• Full support for two tax rates, e.g., Canadian GST/PST.
• Deleting an open charge will reset unit dates, if a rental.
• Tax amount now prints as a recap on bottom of the invoice.
• Posting receivables now automatically posts tax amount of invoice. It pays off the tax amount fully, so if a partial payment is made against an invoice, the tax is paid off first. For those companies using cash accounting, the tax payoff is a notational entry.
• Rate codes can be checked as in-active so they do not show up when assigning a charge to a site
Recurring Invoicing/Rental Unit Management
• When assigning rental units, the default price book is automatically populated.
First entry in the price book list for matching type of unit is used.
• When removing all units, there is now an option to remove service routes for the site.
• You can exchange units in the rental unit assignment screen.
• You can check a unit as inactive so it does not show up when assigning units to a site.
• New bulk rate change on rental units.
You can select units and change price by using any of the available price books.
• Validation message is displayed if you try to assign a unit without setting the price.
Dispatching Changes
• Service route entry now supports a 'friendly' service route name which can be used to identify service routes. This validates against Reference File 32.
• You can now set the map icon for service routes in Reference File 32.
• New service route report prints a separate line for each unit along with service site information.
• Lat/Long converter. Converts decimals to degrees to decimals.
• Bar codes / RFID scanning supported. You can now assign a bar code or RFID code to a rental unit. If you run the service route export report and export it into Excel format, you can then import that report directly into any hand-held which uses Windows CE. At the end of the day, you can then export from the PDA back into Total Activity Control, then run a report which shows whether units were serviced or not.
