Vehicle Master

The Vehicle Master window can be used to view, change or add information about company vehicles.

 

Opening Vehicle Master Window

 

  1. On the Main Menu,  select Vehicle, and click Vehicle Master.

The Vehicle Master window will open.

There are two tabs on the Vehicle Master.  The Vehicle Master Tab is used to display, add or change Vehicle information.  The Search Tab is used to search for a specific vehicle, so that it can be displayed in the Vehicle Master.

Steps to Add a Vehicle

 

  1. Click on the Add New button at the bottom of the window.

A new vehicle record is displayed.  The text fields will be yellow, indicating that they can be changed.

 

  1. Select a Vehicle ID for the new vehicle record.  It must be a new ID that is not currently assigned to any other vehicle.   

 

  1. Fill in any of the following information, using the tab key to move to each new text box.

A number/letter combination used to identify a vehicle.

Fixed length code for each vehicle managed

Division

Division code for multi-division operations

 

Location

Where truck is stored during non-running hours.

 

Starting Mileage

Odometer reading when purchased.

 

Mfg. Date

Date vehicle was manufactured

 

Weight

Weight of vehicle.

 

Usage

Miles used in service.

 Actual miles used since placed in service.

License

Registration number of vehicle.

 

Body Type

Vehicle body style.

Pull-down list from reference file.

Lifespan

Expected number of miles that the vehicle will be used before retirement.

 

Fuel

Type of fuel used.

Pull-down list from reference file.

Reg. State

State of vehicle registration

Pull-down list from reference file.

Use Type

Type of usage.

Pull-down list from reference file.

Trans.

Type of transmission.

 

Cost

Original cost of vehicle.

 

Start Date

Date vehicle placed in service.

 

Trans. Mfg.

Manufacture of transmission.

Pull-down list from reference file.

Depreciation

Amount of depreciation.

Total amount of deprecation taken on your tax forms for this vehicle.

Type

Type of vehicle.

Pull-down list from reference file.

Engine

Type of engine.

 

Current Value

Current value of vehicle.  

This can be cost minus depreciation or market value.

Make

Make of vehicle.

Pull-down list from reference file.

Engine Mfg.

Manufacture of engine.

Pull-down list from reference file.

Salvage Value

Salvage value of vehicle.

Dollar value if vehicle is junked.

Model

Model of vehicle.

 

Tire

 

 

Usage Note

Free text area to describe vehicle use.

 

Description

Free text to keep notes on vehicle.

 

 

  1. Click the Save button to save the information.

  2. Click the Done button to close the window.   

 

Steps to Edit a Vehicle

 

  1. Click on the Edit button at the bottom of the window.

The vehicle record display will re-display, showing all text boxes in yellow, indicating that they can be changed.

  1. Change any of the text boxes, as needed.  ( What are the text fields?)

  2. Click the Save button to save the information.

  3. Click the Done button to close the window.   

 

Note: If you change your mind while making changes in the yellow text boxes, click the Undo button to go back to the un-edited record.

 

Steps to Delete a Vehicle

 

  1. Click on the Delete button at the bottom of the window.

A popup window will come up asking "Are you sure?"

  1. Click the OK button on the popup to delete the vehicle record.

The popup window will close and the Vehicle Master window will display the next vehicle record in the database.

 

Paging Through Vehicles

 

At the bottom left of the Vehicle Master window, there are four buttons:

 

 

These buttons are used to more forward and backward in the Vehicle Master Database.

 

Show the first record

Show the last record

Show the next record

Show the previous record
