QuickBooks data exchange is a comprehensive tool that supports electronic exchange of information between QuickBooks Pro 2002+ and the TAC system. Currently, we support the import and export of site and customer information.
Warning: Please make sure you have created tested backups of all data prior to using this utility. Good backups are like insurance -- good to have, and you always hope you never have to use.
You can import/export customers from / to QuickBooks from TAC in two ways:
• Individual customer/site by site
• Bulk import of all sites
The TAC system requires unique customer/site identifiers. Within QuickBooks, if you have assigned multiple sites with the same identifiers, only the first site / customer will be imported. All others have to be manually entered on an individual basis.
The steps to import your QuickBooks customers into TAC are as follows:
1. Make a backup of the QuickBooks and TAC data. Verify that the backup is working by restoring the data.
2. Start QuickBooks and open the company you which to transfer to/from TAC.
3. Minimize QuickBooks.
4. Start the TAC system and select from the main menu File/QuickBooks data exchange
5. Select Connect to QuickBooks button at bottom of the screen. You will be prompted to approve the connection. Approve the connection and minimize QuickBooks.
6. Import
Individual Import. Click on the Import Customer Tab and a list of customers will appear in the window. Click on a customer,and then click the Import Selected Customer. The customer will be imported, and within TAC, a customer record, site and opening balance transaction will be created for the selected customer. Repeat for all the customers you want to import.
Bulk Import. Click on the Import Customers to TAC Tab and the program will go through each QuickBooks customer in billing name order. If it does not find the customer already within TAC, it will create a customer, site and opening balance invoice for the individual customers. Then it will continue through the list until all the customers/sites have been imported.
Do the following to verify the import form QuickBooks to TAC!
1. Run a customer listing with current balances in billing name order from within QuickBooks. You can do this from report/customer section.
2. Run theTAC Report/Financial Documents/Age Report Tab and select report Age Single Line by Billing Name. You have to set your printer to landscape to print the whole report.
3. Using the QuickBooks report as a guide, verify each site transferred and the balance. Mark any site missed for manual entry.
