When you receive payment, the Main Menu Receivables/Post Receivables will bring up the payment form.
This is a highly automated process and has many features to speed data entry.
To post a new payment, bring up the form and click the Add New command button. Enter a
site number, or search for the site with the magnifying glass button.. When you tab off the site number, the system will automatically search for open invoices and if it only finds one, will populate the invoice number. If there is more than one open invoice for the site, an invoice search window will pop up, so you can select which invoice you want to apply the payment too. You can then pick the invoice to pay by double-clicking on the invoice in the grid, and the payment edit tab will show the selected invoice number.
Of course you can always select the invoice search button manually and look at both open and closed invoices for the site. This allows you to apply over-payments to existing invoices, if needed.
Alternatively, you may start by entering the invoice number or searching for the invoice using the magnifying glass button. When you tab off the invoice field, the system will automatically display the site number, name and balances as if you first entered the site number and then the invoice number.
Now you can enter the check number, note, check amount, payment amount and amount of tax that is associated with the payment amount. If a single check pays an invoice with both taxable and non-taxable line items, and you use cash receipts to pay sales tax, you should break up the payment into two entries, one for
the taxable amount and another for the non-taxed amount.
