Add a Charge in the Line Item Charges Form

The line item charge form is used to create charges for the service your company provides.  

 

Basic Information

 

The basic flow of the form is clicking Add New and entering site number and/or a work order number. You are then prompted to enter the fields associated with the site default rate code, or the rate code you placed on the work order, or the manually entered rate code. You then populate the quantity and dollar fields, notes, etc., and when done, click the Save command button.  The open line item charge will appear on the grid blow and the running totals will be updated.

 

Repeat this process starting at the rate code for as many line items as you want to add for this site.  When done, you can leave the open line item charges to be converted to invoices in bulk, or right click on the grid and select Create invoice form the action menu. This will immediate assign a invoice number and present the invoice for viewing, printing or sending by email.

 

Step-by-Step Instructions

 

  1. Click the Add New button at the bottom of the screen.  The fields you can type into will turn yellow.

 

  1. Fill out the form (tab though this form, so you do not miss an important field.)

a)      Start at the Site #.  If you do not know the site number, click on the small magnifying glass next the Site # field.    ( It will pop-up a site search form where you can fill in info to match, click the Search button, and then double-click on any site in the results grid to select it.)

 

b)      Tab to Work Order.  Whether you use work order numbers to create charges depends on your company.  You can search for a work order in the same way you can search for a site.

 

c)      Tab down to the Charge Date.  Type the date that the job will be done in this field. 

 

d)      Tab to the Rate Code field.  If you have a rate code on this site master, it will appear in this field.  If not, then enter a rate code of your choice.  You can choose from a list of rate codes by clicking on the arrow button next to the rate code field.

 

e)      Tab to the Rate in this field.  Enter how much you are charging for the job or how much you are charging per piece.

 

f)        In the Quantity type the number of items.

 

g)      Tab to the Invoice Amt. The software will take the rate times the amount (unless you have specified in the rate code file).

 

h)      If this rate is taxable, then you will fill in the amount that is taxable.

 

i)        Tab to the Note.  Type a note here on the work item.

 

j)        In Description, put a short sentence on the job.

 

  1. Click the Save button on the bottom.

 

  1. Notice that the charge item you just added is in a grid near the bottom of the form.  If you add another charge item, it will also appear in that same grid.  

 

  1. You can do a right-click with the mouse pointer while pointing at any item in the grid.  This will display an action menu with actions you can take, like edit or invoice the line item, by selecting (clicking) on the action in the menu..   

 

  1. Click the Done button to close the window.

 

Deletion Control

Line items cannot be deleted once they have been assigned to an invoice.
