Applying a Payment to a Site

Steps

 

1)   The form that is used to apply a payment to an invoice is the Post Receivables form.  You can always get to this form from the Main Menu: Receivable > Post Receivables.

 

2)      Click the Add New button.

a)      Either

1.      Type the Site # and tab off, and you will see a list of all the open invoices for that site; double click on the invoice.

or

2.      Type the Invoice # .

b)      Tab to the Post Date.  This is used to keep a record of when the charge was posted.

c)      Tab to the Check Date.  Type in the date on the check

d)      Tab to the Check Number and type the check number.

e)      Tab down to the Check Amt.  Type the amount of the check.

f)        Tab to the Payment and the software will put in either the amount of the check (if it is less than the invoice) or the amount of the invoice.

 

3)      Click the Save button.  To close the form, click the Done button.
