Make an Adjustment to an Invoice

Note: Before you start you need to know if your accounting method is accrual or cash.  You also need either the site or the invoice number that needs to be adjusted.

 

Steps

 

To make Accrual Adjustments:

 

 The form where adjustments are made is the Adjustment Form.  You can always open if from the Main Menu by going to Main Menu: Receivables > Invoice Adjustments.

 

1)      Make sure that the tab in front is the Accrual Adjustment tab.  You can be sure by just clicking on the area showing the tab name.

 

2)     Click the Add New button.  (Note: While going though this screen, make sure that you tab though each field.).

·   If you know the site number:

Type in the site number. If you enter the site number ( Note: The Magnifying glass button   can be used for searching.), the program will either (1) put in the invoice number if there is only one number, or (2) show you a list of invoices to select from.  If you know the invoice number, type the invoice number. 

 

If you know the invoice number:

Type in the invoice number and the site number will change to match.( Note: The Magnifying glass button   can be used for searching.)

·        Tab to the Date and place the date that you want to use for the adjustment.

·  Tab to the Rate Code.  You can use the small arrow next to the rate code field to select a rate code.

·        Tab to the Note field and put a note explaining why you are adjusting this invoice.

·  Tab to the Code field and you can put in an adjustment code like ADJ.

·        Tab to Amount and put the amount you need to adjust off the invoice. 

·        Tab though the rest of the fields.

3)      Once you tab though the fields, click the Post button and now the adjustment is posted.

 

4)   Click the Exit button to close the form.

 

If you want to make Cash Adjustments:

 

1)      You need either the site or the invoice number that needs to be adjusted.

2)      Go to Main Menu: Receivables > Post Receivables.

5)      Click the Add New button.  (Note: While going though this screen, make sure that you tab though each field.).

·        If you know the site number:

Type in the site number. If you enter the site number, the program will either (1) put in the invoice number if there is only one number, or (2) show you a list of invoices to select from.  If you know the invoice number, type the invoice number. 

If you know the invoice number:

Type in the invoice number and the site number will change to match.( Note: The Magnifying glass button can be used for searching.)

·        Tab to the Date and place the date that you want to use for the adjustment.

·        Tab to the Check Date and in here leave it the same as the Post Date.

·        Tab to the Check #.  In here, type in ADJ or CR.

·        Tab to the Note field and put a note explaining why you are adjusting this invoice.

·        In the Check Amt, put the amount of money that you want to adjust off the invoice.

3)      Click the Save button.
